Hubcar Privacy Policy

This Privacy Policy applies to Hubcar, including the Hubcar public website, marketplace pages, booking and payment flows, host and administrative dashboard, integrations, communications, and related services.

1. Who we are and scope

Hubcar ("Hubcar", "we", "our", or "us") provides technology for vehicle rental operations, marketplace discovery, reservations, payments, fleet management, and related services.

This policy explains how we collect, use, disclose, retain, and protect personal information when you visit our websites, create an account, list or book vehicles, communicate with us, use payment links, or connect third-party services.

2. Information we collect

The information we collect depends on how you use Hubcar and which features are enabled.

  • Account and contact information, such as name, email address, phone number, password credentials, preferred language, role, and communication preferences.
  • Identity, eligibility, and driver information, such as date of birth, driver's license details, verification status, uploaded documents, and other information needed to evaluate rental or account requirements.
  • Reservation and marketplace information, such as pickup and return details, vehicle selections, trip dates, quotes, offers, messages, support requests, reviews, damage reports, and cancellation details.
  • Host, fleet, and vehicle information, such as vehicle descriptions, photos, VIN, plate, location, availability, pricing, protection terms, telematics or toll data when connected, and operational notes.
  • Payment and billing information, such as transaction identifiers, payment status, amounts, invoices, refunds, receipts, taxes, deposits, charge details, and limited payment metadata. Full card or bank credentials may be handled by payment or financial service providers rather than Hubcar.
  • Device, usage, and analytics information, such as IP address, browser, operating system, device identifiers, pages viewed, referring URLs, approximate location, logs, cookies, and diagnostics.
  • Integration information from services you connect or authorize, such as financial, tolling, email, calendar, telematics, mapping, identity, or reservation systems, according to the permissions you grant.

3. How we collect information

  • Directly from you when you create an account, submit forms, book or list a vehicle, upload documents, contact support, or use the dashboard.
  • Automatically from your device, browser, cookies, logs, and similar technologies.
  • From hosts, guests, administrators, payment processors, identity or fraud prevention providers, connected integrations, public sources, and other service providers involved in delivering the services.

4. How we use information

  • Provide, operate, maintain, secure, and improve the Hubcar services.
  • Create and manage accounts, authenticate users, authorize access, and support role-based permissions.
  • Process quotes, bookings, reservations, payments, deposits, refunds, invoices, and related operational workflows.
  • Verify identity, eligibility, driving requirements, fraud risk, vehicle information, and compliance with platform rules.
  • Communicate about accounts, bookings, support, security alerts, policy updates, promotions where permitted, and service messages.
  • Analyze usage, debug errors, prevent abuse, maintain service quality, and develop new or improved features.
  • Comply with legal obligations, enforce agreements, resolve disputes, protect rights and safety, and support audits or reporting.

5. How we share information

We do not sell personal information for money. If we engage in activities treated as a sale, sharing, or targeted advertising under applicable privacy law, we will provide required notices and choices.

  • With hosts, guests, administrators, or business users as needed to support reservations, listings, fleet operations, support, payments, disputes, and safety.
  • With service providers that help us operate Hubcar, including hosting, storage, analytics, communications, support, payment processing, identity verification, fraud prevention, mapping, email delivery, and integrations.
  • With financial, payment, banking, tolling, telematics, or reservation partners when you connect or use those features.
  • With legal, regulatory, tax, accounting, insurance, or law enforcement recipients when required or when we believe disclosure is reasonably necessary.
  • With a successor or potential successor in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.
  • With your consent or at your direction.

6. Cookies and similar technologies

We may use cookies, local storage, pixels, SDKs, logs, and similar technologies to keep you signed in, remember preferences, secure sessions, measure performance, understand usage, improve the services, and support marketing or attribution where permitted.

12. International users

Hubcar operates primarily from the United States. If you access the services from outside the United States, your information may be processed and stored in the United States or other countries where service providers operate. These locations may have data protection laws that differ from those in your jurisdiction.

We may update this Privacy Policy from time to time. The effective date above shows when it was last updated. Material changes may be communicated through the website, dashboard, email, or other reasonable channels.

14. Marketing communications and opt-out

By providing your phone number or email address and accepting the Terms & Conditions, you agree to receive Hubcar marketing communications by WhatsApp, email, and SMS, including promotional messages, offers, product updates, and service announcements where permitted by applicable law.

You can remove your contact from our marketing list at any time by replying STOP to SMS or WhatsApp marketing messages, or by clicking the unsubscribe link in the footer of marketing emails. Opting out of marketing messages does not prevent Hubcar from sending transactional or service messages related to your account, reservations, payments, security, or legal notices.

Hubcar Terms & Conditions

These Terms & Conditions govern access to and use of Hubcar services. By using Hubcar, you agree to these terms and to any additional terms presented for a specific feature, booking, integration, payment, or subscription.

1. Acceptance and service scope

Hubcar provides software, marketplace, reservation, payment, operational, and integration tools for vehicle rental businesses, hosts, guests, administrators, and related users.

If you use Hubcar on behalf of a company or other organization, you represent that you have authority to bind that organization, and "you" includes that organization.

2. Eligibility and accounts

  • You must provide accurate, current, and complete information and keep it updated.
  • You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
  • You may not create accounts using false information, impersonate another person, or bypass eligibility, verification, or security requirements.
  • Hosts, guests, drivers, and administrators must satisfy the legal, licensing, age, insurance, authorization, and operational requirements that apply to their role and jurisdiction.

3. Marketplace, host, and vehicle responsibilities

Hosts and business users are responsible for the accuracy, legality, safety, availability, pricing, photos, descriptions, policies, fees, taxes, and protection terms associated with vehicles or services they list or manage through Hubcar.

  • You must have the legal right and authority to list, rent, manage, or operate any vehicle or business information submitted to Hubcar.
  • You must maintain vehicles, documents, inspections, registrations, insurance, permits, and safety requirements required by law and by any applicable platform or business policies.
  • You are responsible for honoring confirmed reservations, communicating material changes, and handling operations professionally and lawfully.

4. Guest, renter, and driver responsibilities

  • Guests and drivers must provide truthful information, meet eligibility requirements, hold a valid driver's license where required, and comply with applicable laws and booking rules.
  • You are responsible for using vehicles safely, returning them on time and in acceptable condition, paying approved charges, and reporting incidents, damage, tickets, tolls, or claims promptly.
  • You may not allow unauthorized drivers, engage in prohibited use, misuse vehicles, violate laws, or interfere with tracking, safety, tolling, or operational equipment.

5. Bookings, payments, fees, and taxes

Prices, deposits, fees, taxes, protection products, refunds, payment schedules, and cancellation rules may vary by host, vehicle, booking, location, and payment method.

By submitting a booking, payment, payment link, deposit, or subscription order, you authorize Hubcar and its payment providers to process amounts due, including approved fees, charges, refunds, chargebacks, adjustments, and taxes where applicable.

6. Cancellations, refunds, disputes, and damage

Cancellations, no-shows, refunds, deposits, disputes, damages, cleaning, fuel, tolls, tickets, late returns, and other trip-related charges are governed by the booking details, host policies, applicable protection terms, payment provider rules, and law.

Hubcar may support communications, documentation, workflows, and payment operations, but hosts, guests, insurers, payment providers, and other parties may retain their own obligations and decision authority.

7. Acceptable use

  • Do not use Hubcar for unlawful, deceptive, abusive, fraudulent, infringing, harmful, or unsafe activity.
  • Do not attempt to access accounts, systems, data, APIs, or features without authorization.
  • Do not interfere with security, availability, integrity, billing, payments, identity checks, reviews, listings, or platform operations.
  • Do not upload malicious code, scrape the services without permission, reverse engineer restricted areas, or use Hubcar to send spam or unauthorized marketing.
  • Do not submit content that violates law, privacy, intellectual property, publicity, contractual, or third-party rights.

8. Third-party services and integrations

Hubcar may rely on or connect with third-party services, including payment processors, mapping providers, identity services, financial data providers, tolling services, telematics providers, email services, analytics tools, hosting providers, and marketplace or reservation systems.

Your use of third-party services may be subject to separate terms and privacy policies. Hubcar is not responsible for third-party services that we do not control.

9. Intellectual property and content

Hubcar and its licensors own the Hubcar platform, software, design, trademarks, logos, documentation, and other protected materials, except for content owned by users or third parties.

You grant Hubcar a limited license to host, process, display, transmit, and use content you provide as needed to operate, secure, improve, and promote the services, subject to applicable privacy commitments.

10. Availability and changes

We may change, suspend, discontinue, or limit parts of the services at any time, including features, integrations, pricing, documentation, and availability. We try to provide reasonable notice when changes materially affect active users, but urgent security, legal, or operational changes may occur without advance notice.

11. Disclaimers

To the maximum extent permitted by law, Hubcar services are provided on an "as is" and "as available" basis. We do not guarantee uninterrupted availability, error-free operation, specific business outcomes, booking volume, revenue, vehicle condition, user behavior, or third-party performance.

Nothing in these terms limits rights that cannot be limited under applicable law.

12. Limitation of liability and indemnity

To the maximum extent permitted by law, Hubcar will not be liable for indirect, incidental, special, consequential, punitive, exemplary, or lost-profit damages, or for losses arising from third-party conduct, vehicle use, payment provider decisions, unavailable services, or unauthorized account use.

You agree to indemnify and hold Hubcar harmless from claims, losses, liabilities, damages, costs, and expenses arising from your content, listings, bookings, vehicle operations, misuse of the services, violation of these terms, or violation of law or third-party rights.

13. Suspension and termination

We may suspend, restrict, or terminate access to Hubcar if we believe there is a violation of these terms, legal risk, fraud risk, security concern, non-payment, harmful conduct, or operational issue. You may stop using the services at any time, subject to outstanding obligations.

14. Governing law and disputes

These terms are governed by the laws of the State of Florida, United States, without regard to conflict-of-law rules, unless applicable consumer protection laws require otherwise.

Before filing a formal claim, you agree to contact us and try to resolve the dispute informally. Courts or dispute forums with jurisdiction over the applicable claim will handle unresolved disputes, unless a separate written agreement states otherwise.

15. Updates to these terms

We may update these Terms & Conditions from time to time. The effective date above shows when they were last updated. Continued use of Hubcar after updates become effective means you accept the updated terms.

16. Marketing communications consent

When you provide your phone number or email address to Hubcar and accept these Terms & Conditions, you consent to receive marketing communications from Hubcar by WhatsApp, email, and SMS. These messages may include promotions, offers, product updates, reminders, and other marketing content.

You may opt out of marketing communications at any time by replying STOP to text or WhatsApp messages, or by clicking the unsubscribe link in the footer of marketing emails. Message and data rates may apply. Transactional, security, payment, booking, account, and legally required communications may still be sent when needed to provide or administer the services.
